Westenders FC may record youth football matches and, where appropriate, training sessions using video
equipment, including automated sports camera systems.
The purpose of filming is to support football coaching, team development and the enjoyment of our players, while ensuring appropriate safeguarding and privacy arrangements are in place.
How we use match footage
Footage may be viewed by authorised coaches and used to review areas such as team shape, positioning,
movement, decision-making and general team performance. Video will be used constructively and appropriately for the age of the players and may be used during coaching or team development sessions.
Informing players and parents
Parents/carers and players will be informed where regular filming forms part of a team's coaching programme. Where another youth team will be recorded, Westenders FC will inform the opposition in advance wherever reasonably practicable and will consider any legitimate safeguarding or privacy concerns raised.
Parents/carers should raise any concerns regarding filming with their team manager or the Club Welfare Officer.
Storage and retention
Match footage will be stored using appropriately secure systems with access limited to authorised coaches, Club officials and, where appropriate, parents/carers.
Routine match and training footage will normally be retained for no longer than 12 months from the date it was recorded and will then be deleted.
Footage may be deleted earlier where it is no longer required or retained for longer where there is a legitimate safeguarding, legal or disciplinary reason to do so.
Sharing footage with parents
Westenders FC may provide parents/carers of participating players with private access to match footage where the Club considers this appropriate.
Where access is provided, footage is intended for private viewing by participating families and must not be
published publicly or shared on social media without permission from Westenders FC.
Parents/carers are asked to respect the privacy and safeguarding of all children appearing in the footage.
The Club may restrict or withdraw access where it considers this necessary for safeguarding or privacy reasons.
Livestreaming and public use
Match recording for coaching and development does not automatically mean that footage will be livestreamed or published publicly.
Any livestreaming or public use of children's footage, including publication on the Club's website or social-media channels, will be considered separately and managed in accordance with appropriate safeguarding, privacy and permission requirements.
Safeguarding
The welfare and best interests of children will always take priority over the Club's desire to record or retain footage.
Any safeguarding concern relating to photography, filming or the use of footage should be reported to the
Westenders FC Club Welfare Officer.
This policy should be read alongside the Club's Privacy & Data Protection Notice and other safeguarding
policies.
